TrimHQ is a software platform operated by Kargo United Inc. ("TrimHQ," "we," "us," or "our"), a Delaware corporation with its principal place of business at 25003 Wright Lane, Plainfield, IL 60585. We provide barbershop management software including online booking, walk-in queue management, and loyalty programs.
This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our services at trimhq.net, any subdomain such as yourshop.trimhq.net, or any associated applications (collectively, the "Service").
2. Information We Collect
Information you provide directly:
- Barbershop owner information: name, business name, business address, email address, phone number, payment processing details (handled by Stripe), and login credentials.
- Client information (collected by barbershops using TrimHQ): name, mobile phone number, email address (optional), service preferences, appointment history, loyalty stamp counts, and SMS opt-in consent records.
- Communication preferences: SMS opt-in status, opt-in timestamp, IP address at time of opt-in, and exact consent language presented at the time of opt-in.
Information collected automatically:
- Device information, browser type, IP address, and pages visited.
- Booking and queue activity timestamps.
- Cookies and similar technologies for session management.
3. How We Use Information
We use information to:
- Provide, operate, and maintain the Service.
- Send transactional SMS messages (booking confirmations, appointment reminders, loyalty reward notifications) to recipients who have explicitly opted in.
- Process payments via our payment processor (Stripe).
- Improve and analyze the Service.
- Comply with legal obligations.
4. SMS Communications
This section is required for compliance with the Telephone Consumer Protection Act (TCPA) and carrier regulations.
When a client books an appointment at a barbershop using TrimHQ, they are presented with a Yes/No choice (neither option pre-selected) to opt in to receive SMS messages. The consent language clearly identifies the specific barbershop sending messages and the types of messages that will be sent. A preview of this opt-in is available at /sms-optin.
Types of messages sent:
- Appointment booking confirmations.
- Appointment reminders (typically 24 hours and 2 hours before).
- Loyalty reward notifications.
Frequency: Message frequency varies based on user activity and barbershop operations. Typically 1-10 messages per month per active client.
Opt-out: Reply STOP to any message to opt out immediately. Reply HELP for help. Message and data rates may apply per your mobile carrier's terms.
Mobile information: No mobile information, including phone numbers and opt-in consent, will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service and SMS delivery providers (Twilio), is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. How We Share Information
We share information only as described below:
- Service providers: Stripe (payment processing), Twilio (SMS delivery), Twilio SendGrid (email delivery), Supabase (database hosting), Amazon Web Services (infrastructure hosting), Google Cloud (Wallet API), and Apple (PassKit). These providers process information solely on our behalf under strict confidentiality.
- Barbershops using TrimHQ: Client information provided through booking or queue check-in is shared with the specific barbershop the client has interacted with, as necessary to provide service.
- Legal requirements: We may disclose information if required by law, subpoena, or legal process.
- We do not sell personal information.
6. Data Retention
We retain information as long as necessary to provide the Service and meet legal obligations. Active appointment and queue data is retained for 1 year, after which it is archived. SMS consent records are retained for at least 5 years per TCPA compliance requirements. Stripe transaction records are retained for 7 years per financial record-keeping requirements.
7. Your Rights and Choices
You may:
- Reply STOP to any SMS to opt out of further messages.
- Request deletion of your personal information by emailing info@kargounited.com. We will honor deletion requests in accordance with applicable laws including CCPA and VCDPA.
- Request a copy of the information we hold about you.
- Correct inaccurate information.
California, Virginia, Colorado, Connecticut, and Utah residents have additional rights under applicable state privacy laws. To exercise these rights, contact us at info@kargounited.com.
8. Security
We implement reasonable technical and organizational measures to protect personal information, including encryption in transit and at rest, access controls, and audit logging. However, no method of electronic transmission or storage is 100% secure.
9. Children's Privacy
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated via email or in-app notice.
